How to keep track of your success with these healthcare marketing KPIs
In short: the eight most important healthcare marketing KPIs are website traffic, conversion rate, click-through rate, search engine ranking, online reviews, social media engagement, patient retention and the cost per new patient (CPA). Now that AI is part of search, impressions, mentions in AI answers and enquiries per channel have been added. Three or four of them are enough to start with.
What are KPIs? KPIs are measurable metrics that let you track the success of your marketing activities. They show which measures work, where you can save budget and which channels really reach your target group. In everyday practice this is a great help for acting efficiently and with focus: if you check your healthcare KPIs regularly, you can base further decisions on facts rather than gut feeling and see how your website, campaigns or social media actually contribute to your practice's success.
The key healthcare marketing KPIs at a glance
These healthcare marketing KPIs show whether your measures are really working and where you can make targeted adjustments.
1. Website traffic
Website traffic shows how many visitors find your practice online and which channels bring them to you. Whether through Google search, your latest campaign or social media: analysing these figures helps you steer your marketing in a targeted way, for example by investing more budget in channels that perform well or creating new content where there is still potential.
How to measure it: visits per month by channel in Google Analytics 4, “Traffic acquisition” report. Compare with the previous month and the same month last year.
In our article “Online marketing for medical practices: your first practice campaign in 4 steps” you will learn how to plan your first marketing campaign strategically, implement it with focus and measure its success with the right KPIs.
2. Conversion rate
The conversion rate shows how many website visitors actually take action, such as booking an appointment, filling in a contact form or simply clicking through. A high rate means your content convinces, builds trust and prompts action. With a lower rate, even small changes to copy, buttons or forms can make a big difference.
How to measure it: enquiries divided by visits, multiplied by 100. Example: 30 enquiries from 1,500 visits gives 2 per cent. Calls, forms and clicks on the appointment booking all count as enquiries.
3. Click-through rate (CTR)
The click-through rate tells you how many people respond to your ads or social media posts, actually clicking rather than just scrolling past. A low CTR can indicate that your message, design or placement is not yet optimal and is not properly capturing your target group's attention. A/B tests help you test and improve headlines and visuals in a targeted way.
How to measure it: clicks divided by impressions, multiplied by 100, available in Google Ads, Meta and Google Search Console.
A/B tests are simple comparison tests in which two versions of an ad or page are tested against each other. This lets you see quickly which content performs better so you can keep optimising your campaign.
4. Search engine ranking (SEO positions)
Your Google ranking shows how visible your practice is online. The higher your position, the greater the chance that patients will notice your website. Regular SEO analyses and ongoing maintenance of your website help you build more reach and trust over the long term.
How to measure it: average position per search term in Google Search Console, ideally for 10 to 20 fixed terms including a location, such as “dentist Dresden Neustadt”.
Because SEO is such a broad topic, we have written a separate series of articles on it. To get started, we recommend our article: “SEO basics: the first 5 steps for your practice”
5. Online reviews and average rating
Reviews on Google or Jameda are among the most important trust factors in healthcare. They shape how patients perceive your practice, often before they even visit your website. Positive reviews not only increase your credibility but also have a direct effect on your search engine ranking. It is therefore worth actively asking for feedback, responding to reviews and using criticism as an opportunity to improve.
How to measure it: average rating and number of new reviews per month in your Google Business Profile, plus Jameda or Doctolib.
6. Social media engagement
Likes, comments and shares show how strongly your content resonates and whether you are genuinely connecting with your community. High interaction rates are a sign of relevance and closeness to your target group. What matters here is posting regularly and authentically: a few high-quality posts are better than hasty daily ones.
How to measure it: interactions (likes, comments, saves, shares) divided by reach, multiplied by 100, in Meta Business Suite or the analytics of TikTok and LinkedIn.
7. Patient retention and return rate
This metric shows how many of your patients come back regularly. A high return rate is a strong signal of trust and satisfaction. Measures such as follow-up emails, recall systems or personal communication help to strengthen this relationship further and keep patients loyal to your practice over the long term.
How to measure it: the share of patients who had another appointment within twelve months, taken from your practice management software.
8. Cost per acquisition (CPA)
CPA shows how much you invest on average to gain one new patient. This metric is key to using marketing budgets sensibly and avoiding wasted spend. A low CPA combined with a high conversion rate is ideal, because it shows that you are using your budget in a targeted way and achieving measurable results with little effort. This keeps costs, impact and growth in balance.
How to measure it: marketing costs divided by new patients over the same period. Example: a budget of 1,200 euros and 15 new patients gives 80 euros per patient.
You do not need to keep an eye on every metric at once. Start with three or four KPIs that fit your current goals, for example website traffic, conversion rate and reviews. This way you build a better understanding of your marketing impact step by step.
New metrics now that AI is part of search
Two of the eight metrics are currently losing their meaning: website traffic and click-through rate. Since Google started showing AI Overviews (since March 2025) and AI Mode (since October 2025) in Germany, search answers many questions itself. An Ahrefs study from February 2026 measured on average 58 per cent fewer clicks on the top result when an AI Overview appears. With some of our clients we see up to 80 per cent fewer organic clicks, while impressions fall much less.

If you only look at clicks, you can easily mistake a highly visible practice for an invisible one. These metrics give the fuller picture:
| Metric | What it shows | Where to find it |
|---|---|---|
| Impressions | Whether the practice is still being seen, even if fewer people click | Google Search Console |
| Branded searches | How often people search for the practice name, often a result of mentions elsewhere | Search Console, queries containing the practice name |
| Visits from AI assistants | Who comes to the website via ChatGPT, Perplexity, Gemini or Copilot | Google Analytics 4, separate channel |
| AI citation rate | How often the practice is named in AI answers to fixed patient questions | fixed list of questions, checked monthly |
| Enquiries per channel | Calls, forms and clicks on the appointment booking, with their source | Tracking |
| Cost per enquiry | What an enquiry costs per channel, the basis for every budget decision | Tracking plus budget |
From visibility to enquiry
- SeenImpressions, mentions in AI answers
- VisitedClicks from search, visits from AI assistants
- EnquiredCall, form, click on the appointment booking
- Appointmentattended and treated, counted in the practice
The third stage is what decides. In our experience, the enquiries that still come in via search today match the need better than before, because AI has already answered many basic questions in advance. Fewer clicks can therefore mean the same number of enquiries or even better ones. How enquiries are correctly attributed to their source, with consent and without health data, is described in our Tracking service.
Quick tip
How agencies measure the success of healthcare marketing
In short: a good agency does not measure clicks but the journey from first contact to appointment, on three levels: attention, interaction and appointment.
- Attention: impressions, reach, branded searches and mentions in AI answers. Shows whether the practice is being seen.
- Interaction: visits, click-through rate and engagement. Shows whether the content sparks interest.
- Appointment: enquiries per channel, cost per enquiry and the new patients that result. Shows whether the budget pays off.
The upper levels can be measured automatically. Only the practice knows the last one: how many enquiries led to an appointment is recorded in the practice management software, not in tracking. A check once a month is enough.
At MedDirection, every report answers three questions: what has changed, why, and what we do next. Every figure is shown alongside the previous month and the previous year. We measure enquiries, not health data. More on this in our Reporting service.

In practice: how to measure your marketing success
Figures are only helpful if you read and interpret them correctly. Just a few well-chosen metrics are enough to spot trends and respond in a targeted way. To start with, simple tools such as Google Analytics, Meta Insights (for Facebook and Instagram) or Doctolib are often sufficient. They show where your website visitors come from, which content works and through which channels new patients find out about you.
Compare your KPIs over several weeks or months rather than looking only at snapshots. This shows you which measures work over the long term and where adjustments are needed.
Conclusion
These healthcare marketing KPIs are your navigation system for focused, sustainable practice marketing. If you know your metrics, you can base marketing decisions on facts, use budgets efficiently and spot developments early.

Frequently asked questions
What are KPIs?
KPIs (key performance indicators) are metrics you can use to assess the success of your marketing activities. They show which strategies work, where there is room for improvement and how economically the budget is being used.
What are the most important KPIs for my practice?
The most important healthcare marketing KPIs include website traffic, conversion rate, click-through rate (CTR), search engine ranking, online reviews, social media engagement, patient retention and cost per acquisition (CPA). Together they show your visibility, marketing efficiency and where optimisation is needed.
How can I measure my marketing success?
Regularly evaluate relevant metrics such as website visitor numbers, conversion rates or patient reviews. Tools such as Google Analytics or Meta Insights help you capture this data and make developments visible.
How do agencies measure the success of healthcare marketing?
Agencies measure on three levels: attention (impressions, reach, mentions in AI answers), interaction (visits, click-through rate, engagement) and appointment (enquiries per channel, cost per enquiry, new patients). The last level is the most meaningful; for it, the practice reports once a month how many enquiries led to an appointment.
How often should I review my healthcare marketing KPIs?
Review your healthcare marketing KPIs regularly, ideally every month. This lets you identify trends early and respond promptly.
When is it worth getting professional support with KPI analysis?
Professional help is valuable for evaluating metrics strategically and turning them into concrete improvements. Specialists help you choose the right indicators and refine your marketing strategy.
Which metrics count when AI Overviews reduce clicks?
Above all, enquiries per channel and the cost per enquiry. On top of that come impressions instead of clicks, branded searches for the practice name, visits from ChatGPT and other AI assistants, and the citation rate: how often the practice is named in AI answers to fixed patient questions.
How can I see whether my practice is mentioned in ChatGPT?
With a fixed list of ten to twenty questions, worded the way patients would ask them, including location and treatment. Ask these questions once a month in ChatGPT, Perplexity and Google search and note whether your practice is named. No Google tool provides a metric for this yet.
